Sound familiar?
We’re not a consulting firm that recommends and departs. We build the solution. You own the outcome. Paktolus builds, implements, and integrates technology for agencies and brokerages: agency management system integration, producer onboarding and licensing, commission automation, client self-service, and the carrier connections underneath all of it.
Common Challenges for
Agencies and Brokerages
These are the problems agencies and brokerages bring us most often.
“Our producers spend more time in systems than with clients.”
Agency management system integration, producer onboarding, commission automation, book of business reporting, and the workflow tooling that removes duplicate entry between your systems and your carriers.
PRODUCER EXPERIENCE →
“Our AMS doesn't talk to anything.”
API and microservices architecture, agency management system integration, carrier download and real-time connections, data pipelines, and modernization across multiple offices or acquired agencies running different stacks.
CARRIER CONNECTIVITY →
“Appointments and licensing take weeks and nobody can see where they stand.”
Producer licensing and appointment automation, license compatibility checks, E&O and W9 tracking, surplus lines filing and tax reporting, and the audit trails that keep all of it defensible.
REGULATORY OPERATIONS →
"One submission, five carrier portals, the same data typed into each."
Submission preparation and clearance, comparative rating integration, ACORD digitization, quote comparison, and policy issuance workflow. Built around how your team actually places business.
“Clients want certificates and documents without calling us.”
Client portals and mobile access, certificate self-service, document and policy access, digital onboarding, and self-service billing. Connected back to your systems of record instead of sitting beside them.
MEMBER ENGAGEMENT →
“Policy checking and document review eat hours nobody has.”
Document ingestion, data extraction, and copilots applied to specific insurance processes: policy checking, certificate requests, submission preparation, and carrier correspondence. We start where the payback is measurable, not where the demo looks best.
“Claims advocacy is manual and our clients notice.”
Claims reporting and intake, carrier and TPA integration, status visibility for your account teams, and reporting that lets you advocate for a client without three phone calls first.

The question we always start with is:
“What does success actually look like for you?”
Some agencies come to us with a defined project. Others come with a challenge and no idea how to solve it.
Either way, the answer to that question is what we build against. We plug in wherever you need us, from a single
initiative to a full-scale program, and we stay as long as we’re adding value.
CEO
From consulting to execution.
Advise
Discovery, architecture, build-versus-buy analysis, and scoping. Some engagements stop here, and that's a legitimate outcome. You leave with a decision you can defend and a plan someone can actually execute.
Deliver
Custom development or platform implementation, configuration, and integration. Phased, specified, and measured against the outcome you chose. When it goes live, your team knows how to run it.
Support
Ongoing support, enhancement, and managed services, for what we built, or for what you were already running before we met. Many of our relationships continue long past the first project.
We’re technology and vendor agnostic. Sometimes the right answer is custom-built around exactly how your team works. Sometimes it’s optimizing the platform you already run on. We don’t lead with a preferred stack, we lead with your goals.
OUR COMMITMENT
Failure is not an option. Not for you, and not for us.
We’ve heard the same story too many times. A system rolled out to producers who kept using the old process.
An integration that worked until the carrier changed a file format. An acquisition that was supposed to be consolidated onto one platform and still isn’t, two years later. Months of your people’s time. A budget someone had to fight for. And at the end of it, the same problems you started with, plus a little less credibility for whoever proposes the next one.
That's the outcome we build against. Here's how.
Scope is settled before work starts.
Most failed projects were misunderstood at the outset. Not disagreed on, misunderstood, which is worse because nobody notices until the work is underway and running over budget and over time. We won’t quote before we understand the operation, and we won’t start until the specification and the success measure are both agreed.
You see working software early, and often.
Phased delivery with real checkpoints means a project that’s drifting surfaces early rather than at handover. Your team validates each phase before the next begins, and each checkpoint is where we confirm that what we’re building still matches what you asked for. Alignment is not something you agree on once at kickoff.
Nobody has to translate insurance for us.
Requirements get lost between the business and a delivery team that doesn’t know the domain. It’s one of the most common reasons good plans produce bad software. You won’t explain agency bill versus direct bill, why a certificate request isn’t a document request, or what happens to a book when an appointment lapses. We’ve built inside all of it.
Adoption is designed in, not trained in.
The technology is rarely what kills a project. It’s the people who were never brought along, and in an agency that means producers, who have the least patience for a system that slows down a sale. So we build around how your team already works, shadowing the real process and releasing in pieces small enough to absorb. On a recent producer-facing build, adoption reached 100% within the first month. If the people who have to use it end up working around it, we didn’t do our job.
Where To Begin
Three ways agencies and brokerages usually start with us
Most of our relationships begin with one well-scoped and delivered project, and grow from there.
These are the three most common entry points.
1
Commission processing automation
Carrier statements ingested, parsed, and classified automatically, commissions calculated against carrier-specific rules, and payouts generated without a person reconciling spreadsheets. On one build we mapped seventy statement formats into parsing templates and generated NACHA files for direct deposit.
2
Carrier appointments and producer onboarding
A single interface for requesting appointments across multiple carriers, with automated license compatibility checks, built-in E&O and W9 compliance, and real-time status so producers stop asking where things stand.
3
Getting your AMS to talk to your carriers
The integration layer between your agency management system, carrier portals, raters, and reporting. The least visible project on this list and usually the one that unblocks the other two.
Facing one of these, or something else entirely?

Why agencies and brokerages choose Paktolus
You'll feel the difference right away.
We already know insurance.
You won’t spend the first three meetings explaining ACORD forms, carrier appointments, or why commission reconciliation is harder than it looks. We’ve built across distribution technology, agency operations, submission and quoting workflow, policy administration, billing, compliance, and claims.
We build the solution, not just a recommendation.
Many of our clients came to us after engagements that produced a strategy deck and little else. The measure we hold ourselves to is whether your team is still using what we delivered year after year.
We’re easy to work with.
Your preferred cadence, your project management system or ours. Bottom line, we adapt to how you work. Most of our growth comes from referrals, and that’s a large part of why.

Common questions
Questions Agencies and Brokerages Ask Us
We work with agencies and brokerages where there’s real integration or automation complexity: multiple offices or acquired agencies on different systems, high submission or certificate volume, a large carrier roster, or processes that have outgrown what off-the-shelf tools handle. If your agency management system and standard vendor tools already cover what you need, you probably don’t need us, and we’ll tell you that in the first conversation rather than the third. Where the complexity is real, we build the connective tissue that vendors don’t.
Yes. Agency management system integration is one of the most common projects in this segment: connecting your AMS to carrier portals, raters, comparative rating tools, commission data, and reporting. We’ve built more than 300 carrier integrations, which means working with systems we don’t control and can’t change, including carrier portals with no formal API. Multi-office and post-acquisition environments running different systems are a normal starting condition, not an obstacle.
Yes. Commission automation is one of the highest-return projects available to a growing agency, because the work scales linearly with your book unless something changes. A typical build ingests carrier statements in whatever format they arrive, parses and classifies them by agency, producer, product, and period, calculates against carrier-specific rules, and generates payouts and statements. On one engagement we mapped seventy distinct carrier statement formats, generated NACHA files for direct deposit, and cut commission payout time in half.
Yes. Appointment and licensing workflows are usually manual, paperwork-heavy, and invisible to the people waiting on them. We’ve built a single interface for requesting appointments across multiple carriers, with automated license compatibility checks so producers only apply where they’re eligible, built-in compliance checks covering licenses, E&O, and W9, and real-time status notifications. On that build, appointment processing time dropped 90% and producer adoption hit 100% within a month.
